this privacy policy explains how Samantha Tilley Psychotherapy ("the practice," "i," "we") collects, uses, stores, and protects personal information when you visit this website or interact with the practice. it covers obligations under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Ontario's privacy laws, and Canada's Anti-Spam Legislation (CASL).
what we collect
we collect personal information only when you give it to us directly. specifically:
- your email address, when you take the burnout check-in, request the "starting therapy in ottawa" guide, or otherwise opt in to email contact
- your responses to the burnout self-assessment (10 questions, your score, and the resulting severity tier), only stored if you choose to receive your results by email
- basic technical metadata, IP address, timestamp, and the page you submitted from, used to evidence CASL consent and to prevent abuse
- session-related clinical information, only if you become a client. that information is governed by separate College of Registered Psychotherapists of Ontario (CRPO) standards and is not shared with any of the systems described above.
how we use it
- to deliver the resource you asked for, the burnout PDF, the therapy guide, etc.
- to send occasional therapy-related writing, when you have given express CASL consent for it. you can unsubscribe at any time from the link in every email.
- to evidence consent, in case it is ever challenged. this includes storing the exact wording you agreed to, the timestamp, and the originating IP.
- to prevent fraud and abuse, including basic rate limiting on the lead-magnet forms.
we do not sell, rent, or share your information with third parties for marketing purposes.
where it's stored
email contacts and lead-magnet activity are stored with our email and form service providers, which are reputable services with published security and privacy practices. none of this information leaves North America for processing under normal operation.
how long we keep it
- email subscribers: until you unsubscribe. unsubscribe takes effect within 10 business days, and removes you from all future email contact.
- CASL audit logs (consent records and IP): kept for 36 months after collection, then purged. this is the statutory window for CASL evidence.
- burnout assessment data tied to your email is removed when you unsubscribe.
your rights
under PIPEDA and Ontario law, you have the right to:
- access the personal information we hold about you
- request correction of any information that is inaccurate
- request deletion of your information (with a few exceptions for regulatory record-keeping that applies to therapy clients)
- withdraw consent for email contact at any time, without needing a reason

cookies and analytics
this site does not use third-party advertising cookies and does not run cross-site tracking pixels. if any analytics service is used, it is configured to anonymize IP addresses and not share data with advertising networks. you can disable cookies in your browser without losing core site functionality.
children's privacy
this site and its lead magnets are not directed at children under 14. clinical work with minors is conducted under separate consent and confidentiality processes between the practice, the client, and (where applicable) their guardian, in line with CRPO standards.
updates to this policy
we may update this policy as practices or laws evolve. material changes will be communicated to active subscribers by email. the "last updated" date at the top of this page indicates the most recent revision.
